Terms of service
Last updated: November 7, 2026
These terms of service (the “Terms”) govern access to and use of the Dialtone360 website, applications and related services (the “Service”). By creating an account, starting a trial, purchasing a plan or pack, or otherwise using the Service, you agree to these Terms. If you accept them on behalf of an organization, you confirm that you are authorized to bind that organization, and “you” means that organization.
1. The Service
Dialtone360 is a platform for managing telephone announcements and the sites, phone services, numbers and extensions they play on. It includes script management, machine-assisted translation, text-to-speech recording, transcription of uploaded audio, IVR discovery calls, audio conversion and downloads, and related tools.
We may improve, change or retire features over time. If we remove a material feature from a paid plan during your billing term, we will tell you in advance where practical.
2. Accounts and workspaces
Each customer uses the Service through an organization workspace. You are responsible for the members you invite, the roles you give them, keeping sign-in credentials secure, and all activity that takes place in your workspace.
You must give accurate account and billing information and keep it current. Free trials require a valid payment card and a company email address, and are limited to one per company.
Partners (for example managed service providers) who create and manage workspaces for their own clients are responsible for their clients’ use of those workspaces and for their agreements with those clients.
3. Acceptable use
You will use the Service only for lawful purposes and in line with these Terms. You will not: upload content you have no right to use; create recordings intended to deceive or impersonate a person or organization without authorization; use the Service to harass, defraud or place unlawful calls; attempt to access another customer’s data; probe, overload or disrupt the Service; or resell the Service except through our partner program.
We may suspend access where we reasonably believe use breaks these Terms or puts the Service, other customers or third parties at risk. Where practical we will tell you first and give you a chance to fix the issue.
4. Plans, trials, credits and payment
Subscription plans are billed in advance, monthly or annually, at the prices shown on our pricing page or in your order. Prices are in US dollars and exclude applicable taxes, which are added where required.
A free trial lasts 7 days and includes a limited number of recordings. Unless you cancel before the trial ends, it converts to the paid plan you selected and your card is charged. Downloads may be restricted during a trial.
Recording packs and the Migration Project are one-time purchases. Credits are valid for 12 months from purchase. Monthly plan allowances roll over for a limited period as described on the pricing page. Unused credits are not redeemable for cash.
Subscriptions renew automatically at the end of each billing period until cancelled. You can cancel at any time from your billing settings; cancellation takes effect at the end of the current period. Except where the law requires otherwise, payments are non-refundable, although we may at our discretion refund unused one-time purchases.
If a payment fails we may retry it and, after notice, suspend paid features until the balance is settled.
5. Your content
You keep all rights in the recordings, scripts, transcripts, inventory data and other material you upload or create in the Service (“Your Content”).
You grant us a limited licence to host, copy, process, transcribe, translate, convert and display Your Content only as needed to provide, secure and support the Service for you. We do not use Your Content to train machine learning models.
You are responsible for Your Content, including having the rights and permissions needed to upload it and to play the resulting announcements to callers.
6. AI-assisted features
Translations, transcriptions and detected IVR menus are generated automatically and can contain errors. The Service marks them as drafts for a person to review. You are responsible for reviewing and approving text before it is recorded or published to callers.
7. Voice cloning
Custom voices may only be created from recordings of a person who has given informed, written consent to the creation and use of a synthetic version of their voice. You must provide a consent attestation when requesting a cloned voice, keep evidence of that consent, and stop using the voice if consent is withdrawn.
A cloned voice is available only to the workspace that created it.
8. IVR discovery calls
IVR discovery places outbound calls to telephone numbers you choose. You may only start a discovery run against numbers that you own or are authorized to test, and you are responsible for complying with telephone and call-recording laws that apply to those calls. The Service does not press options that reach a person or an emergency line.
9. Third-party services
The Service relies on third-party providers for hosting, authentication, payments, email, telephony, speech and translation. Platform names such as Avaya, Cisco, Genesys or NetSapiens are used only to describe file compatibility and do not imply endorsement or partnership.
10. Availability and support
We work to keep the Service available and secure, but it is provided without a guaranteed uptime commitment unless one is agreed in a signed order. Planned maintenance is announced in the app where possible.
Support is available by email at sales@dialtone360.com and through the in-app help center.
11. Confidentiality and security
Each party will protect the other’s non-public information with reasonable care and use it only for the purposes of these Terms. We use technical and organizational measures designed to protect Your Content, including organization-level isolation, role-based access, audit logging and encryption in transit. Our handling of personal information is described in our Privacy policy.
12. Disclaimers
Except as expressly stated in these Terms, the Service is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the Service will be uninterrupted or error-free, or that machine-generated output will be accurate.
13. Limitation of liability
To the fullest extent permitted by law, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising out of these Terms or the Service.
To the fullest extent permitted by law, each party’s total liability arising out of these Terms or the Service is limited to the amounts you paid for the Service in the 12 months before the event giving rise to the claim. These limits do not apply to your payment obligations or to either party’s liability that cannot be limited by law.
14. Indemnity
You will defend and indemnify us against third-party claims arising from Your Content, from cloned voices or discovery calls you initiate, or from your breach of these Terms.
15. Term, termination and your data
These Terms apply for as long as you use the Service. You may stop using the Service and cancel at any time. We may terminate or suspend your access for material breach of these Terms that is not fixed within 15 days of notice, or immediately where required by law or to prevent harm.
Before your account closes you can download your recordings and export your inventory data. After closure we delete Your Content from active systems within 30 days, and from backups on their normal rotation, unless the law requires us to keep it longer.
16. Changes to these Terms
We may update these Terms from time to time. We will post the updated version here with a new date and, for material changes, notify account admins by email or in the app at least 30 days before the changes take effect. Continuing to use the Service after that date means you accept the updated Terms.
17. General
A signed order form or agreement with us takes precedence over these Terms where they conflict. You may not assign these Terms without our consent, except as part of a merger or sale of your business. If any provision is found unenforceable, the rest remain in effect. Failure to enforce a provision is not a waiver.
